HVAC bookkeeping: keep parts, service calls and payments straight

A busy service calendar can hide missing receipts and unbilled work. A clear monthly routine helps you spot both.

Close the paperwork when the call closes

Keep the work order, agreed charges and approved changes together. Record repairs, installations and maintenance plans clearly so invoices reflect the work actually authorized. Send bills on the schedule you agreed with the customer.

Make parts and vehicle costs traceable

Save receipts for parts, tools, fuel and repairs with the business purpose. The IRS identifies invoices and receipts as supporting documents and provides separate guidance for travel and vehicle expense records. A fuel receipt alone does not establish a deductible vehicle expense; ask your tax professional what mileage and other records to keep.

Separate payment records from bank payouts

Payment fees can make a bank deposit smaller than the invoice payment. Matching those records helps you avoid treating an unexplained difference as missing customer money. Keep customer deposits identifiable so your tax professional can advise on their accounting treatment.
