Landscaping bookkeeping: know where the job money goes

Separate regular yard care from one-off projects, and keep materials, fuel and equipment costs visible.

Different jobs need different records

A weekly mowing route and a one-off planting project have different billing routines. Keep the customer, service date, agreed amount and approved extras together. A simple job reference on receipts can help you review the costs behind each project.

Keep the receipt—not just the bank entry

The IRS explains that business purchases and expenses need supporting documents. A bank entry may show the amount but not explain which plants, supplies or repairs you bought. Save the invoice or receipt and add the business purpose while you remember it.

Review costs before changing your prices

Compare recorded income with materials and other identifiable costs. This can help you ask better questions about pricing, but incomplete cost records cannot establish a job’s full profit. Labor, overhead and equipment treatment may need additional analysis.
